We are currently seeking a full-time Administrative Program Assistant to manage the front desk at our St. Paul Clinic and support our DBT and COD Program administrative needs.


Location: St. Paul
Starting Rate: $17.00/hour
Hours: Full-Time, 40 hours/week
Monday, Wednesday, Friday 8am-4pm
Tuesday, Thursday 9am-5pm
(Hours subject to change)


  1. Greeting and checking in all clients and visitors, including collection of payments and co-payments, collecting client information including personal and financial information, scheduling clients as needed, and notifying therapists of client arrival
  2. Answering the phone while maintaining a polite, consistent phone manner using proper telephone etiquette
  3. Responsible for keeping the reception area clean and organized
  4. Respond to clients, prospective clients, and visitor inquiries in a timely and courteous manner
  5. Keeps office supplies adequately stocked by anticipating inventory needs, and monitoring office equipment and letting the office manager know if supplies are running low
  6. Assist DBT clinical lead and program manager to administer programs
  7. Day-to-day DBT and COD program operations
  8. Manage associated programs’ client groups
  9. Manage all DBT/COD/Threshold authorizations MA auth submission using online portals.
  10. Provide administrative support for DBT and COD clinical staff
  11. Update program staff rosters as needed
  12. Monitor DBT and COD program compliance
  13. Monitor DBT staff competencies
  14. Enter and track data in EHR
  15. Enter and maintain program data in MHIS, DAANES, DHS IOP Portal, Atrezzo and other online databases
  16. Support DBT and COD Program Manager as needed
  17. Other duties as assigned

  2. Excellent communication skills, both written and verbal
  3. Excellent organizational and problem-solving skills
  4. Ability to multi-task
  5. Knowledge and experience with Microsoft Office Suite preferred
  6. Competency with Procentive preferred
  7. Familiarity with HIPAA and client confidentiality preferred
  8. Fluency in Spanish preferred
